Cancellation Policy

Client-Initiated Cancellation

You may cancel your project at any time by providing written notice. Cancellation terms depend on project stage:

Before Work Begins

  • Full refund of any payments made
  • No cancellation fees apply
  • Must be requested within 48 hours of contract signing

During Discovery/Planning Phase

  • Refund minus work completed and documented
  • Minimum charge of 25% of project value
  • All research and planning materials provided

During Design Phase

  • Refund minus work completed
  • Minimum charge of 50% of project value
  • All completed designs and assets provided

During Development Phase

  • Refund minus work completed
  • Minimum charge of 75% of project value
  • All completed code and assets provided

After Project Completion

  • No refunds available
  • Support period begins as specified in contract

WebNexa-Initiated Cancellation

We reserve the right to cancel projects in the following circumstances:

  • Violation of our Terms of Service or Acceptable Use Policy
  • Non-payment after repeated notices
  • Lack of client cooperation affecting project progress
  • Requests for illegal or unethical content

In such cases, you will receive a refund for work not yet completed.

Non-Refundable Items

  • Third-party costs (domains, hosting, licenses, stock photos)
  • Completed work that meets contract specifications
  • Time spent on revisions beyond agreed scope
  • Consultation time and strategy sessions
  • Rush delivery fees

Refund Process

How to Request a Refund

  1. Submit written request via email to billing@webnexa.com
  2. Include project details and reason for refund request
  3. Provide any supporting documentation
  4. Allow 5-10 business days for review

Refund Timeline

  • Review period: 5-10 business days
  • Processing time: 7-14 business days after approval
  • Bank processing: 3-5 business days (varies by institution)

Refund Method

Refunds will be processed using the original payment method. If this is not possible, alternative arrangements will be made.

Maintenance & Support Cancellation

Monthly Plans

  • Cancel anytime with 30 days written notice
  • No refund for current month
  • Service continues until end of billing period

Annual Plans

  • Cancel with 30 days written notice
  • Prorated refund for unused months
  • Early termination fee may apply

Dispute Resolution

If you're unsatisfied with our refund decision:

  3. We will review and respond within 10 business days
  4. If unresolved, disputes may be subject to arbitration

Force Majeure

We are not liable for delays or inability to perform due to circumstances beyond our control, including:

  • Internet service disruptions
  • Third-party service failures

In such cases, we will work with you to reschedule or modify services as appropriate.

Client Responsibilities

To avoid cancellation or refund issues:

  • Provide timely feedback and approvals
  • Supply necessary content and materials
  • Make payments according to agreed schedule
  • Communicate changes or concerns promptly
  • Review and approve work at each milestone

Policy Updates

This policy may be updated periodically. Changes will not affect existing contracts unless mutually agreed upon.
